Your Full Wedding Planning starts with a custom wedding planning site for you to utilize to keep you on track throughout the planning process. Your lead planner will be assigned after you book the Ivory & Beau team and this will be your main contact from start to finish. When you are looking for the perfect vendor for your wedding we are here to provide recommendations and referrals that are tried and trusted. Once you are ready to book your vendor, your lead planner will help with contract reviewal as well as answer any general wedding questions.
When booking Ivory & Beau for Full Wedding Planning you are also locking us in as your wedding florist*. After your venue is all set and you are ready to dive into the process of design we will work with you to create a proposal that fits your personality as a couple and your wedding vision.
As your wedding date approaches, your lead planner will start to reach out to your vendors to finalize all the little details and ensure we are ready to go on your wedding day. What makes us stand out compared to others is our precise attention to detail as seen in our lengthy and customized day of wedding timelines. Your wedding timeline will be our "bible" on the day and days leading up to your wedding.
Our ultimate goal is to bring to life a day that is just as magical as you've dreamed. Our wish is for you to relax and enjoy the day as we handle every little detail.
Getting Started
ONLINE PLANNING ACCOUNT
We plan every little detail using an online software that is collaborative, easy-to-use and organized. No more losing the little details in e-mails with this program everything is all in one place. We use this tool to keep you on track throughout the entire planning process and the majority of communication will take place through your online planning account.

CHECKLISTS
An organized checklist keeps us and you on track at all times. The majority of checklist reminders are tasks for us but you are welcome to use this for any reminders you need to give yourself while planning the details. The checklist we have created is organized by vendor to further organize the process. And you never have to worry about missing a vendor's payment due date with reminders scheduled in to keep you on top of every little thing.

CALENDAR
Our team is here to plan, schedule and attend all vendor meetings. Your online calendar is the spot to find your schedule for any important meetings.
TIMELINE PREPARATION
We have created a thorough timeline that does not leave any detail out. Our Full Timelines are on average 20 pages in length. Color-coded, easy-to-read and organized to ensure that our team is ready to go on your wedding day. The Full Timeline includes the timeline itself with vendor responsibilities, songs and more; vendor contact information and their responsibilities/services; ceremony processional and recessional details with song cues and ceremony seating charts; inventory and setup requirements organized by section (i.e. ceremony - white padded chairs from Event Works placed in 8 rows, 5 chairs/side with 2 reserved rows; welcome table - map guest book from couple set on easel provided by Ivory & Beau placed on round welcome table and so on); detailed layout with all the rentals noted as to locations; seating charts and so on.
WEDDING PARTY TIMELINE
This timeline is a simplified timeline that includes only the most important times for your wedding party and family such as hair and makeup schedule, photo/video schedule and main times of events throughout the day & night. In addition, this timeline includes our full team work schedule for your wedding day along with contact information.
VENDOR CONTACTS, CONTRACT REVIEW & CONFIRMATIONS
We offer unlimited vendor referrals throughout the planning process. This package additionally includes ONE final walkthrough scheduled within 3 months of the wedding date.* We have been working in the Savannah Wedding Industry since 2012 and we know who we can trust and who will provide great service for your wedding.
What sets our Wedding Day Management package apart from your ordinary "Month-Of" or "Day-Of" planner is that we get started with you before the month out so that we have enough time to fully be up to date on what you have booked your vendors for. When you are ready to book vendors we encourage you share contracts with your lead planner so that we may review prior to signing. While this is not required, it is highly recommended and also helps us stay up to date with the happenings of your wedding plans. The I&B Team is not walking in blindsided by anything on your wedding day. We know the rentals that are arriving, we know who is providing the cake stand, we know the menu details, we know the bar menu, we know those little details that you have spent months planning so that on your wedding day our team is prepared and ready to go to ensure a smoothly run relaxing and fun wedding day for you, your fiance and your guests!
*If additional venue walkthroughs or vendor meetings are requested by client additional fees may be incurred.
DESIGN PROPOSAL
After the venue is chosen and the colors have been picked we get started on your custom Design Proposal. This proposal includes the following but not limited to:
• Ceremony Design [Chairs, Backdrop, Aisle Markers]
• Cocktail Hour Design [Layout, Rentals, Linens, Florals, Signage]
• Reception Design [Layout, Rentals, Linens, Napkins, Tablewares, Seating Charts, Escort Cards, Signage, Florals and Centerpieces, Candles, Specialty Installations (Photobooth, Hanging installations, etc.), Cake and Dessert Table Displays, etc.]
We create a Design Proposal that makes the design process seamless. All of the design elements are inclusive to make your job easy. Change some elements until we get it just right and then we handle the rest.

CONTACTS & VENDOR ORGANIZATION
Your online wedding account keeps all the details of every vendor you are considering and booking in one place. Each vendor has their own tab for conversation about their services. Within your wedding account we keep track of all files, contracts and payment details.
We have been working in the Savannah wedding industry since 2012 and we know the vendors in the area. We have tried the foods, heard the music, seen the rentals, and we know who we can trust. We work with your budget to find you the right vendors that fit your vision. We are the liaison between you and vendors throughout the planning process. We obtain pricing information, services information and once you have chosen what vendor you would like we obtain contracts, review contracts and ensure the details are correct before sending to you. We follow through the whole booking process to ensure contracts have been reviewed, filled out correctly, payments have been received and due dates for upcoming important tasks are set so that we can keep you on track.

BUDGET TRACKER
Quite possibly the most important task while planning a wedding is ensuring that the budget is kept on track. Your wedding account has a budget tracker that we review frequently to make sure we are not going over your desired budget. When a new vendor is booked we update your budget and will work with you if any adjustments in the budget need to be made in case of those special splurges!

GUEST TRACKER
Your wedding account also has a guest tracker built in so for an easy way to keep track of the guest list you can send us your list and we will enter the guests into the tracker.

WEDDING DAY COORDINATION
This package includes one lead coordinator + as many assistant coordinators as required based on setup requirements and timeline details. We are there as soon as we can get into your venue and are the last to leave after the party is over. We oversee all set up to ensure everything is set according to your vision. We help keep the timeline on track. We ensure vendors are there and are on time.
We are a more behind-the-scenes type of planner. We think the most important part of your day is that you are enjoying it with your friends, family and most importantly your now-spouse! We are not a personal assistant and are not in your face but are accessible at all times. We coordinate behind the scenes with your vendors and help direct guests as needed. We coordinate the ceremony processional and other special events such as grand entrances, dances and so on. It is always our goal to keep the timeline moving smoothly without hiccups.

CEREMONY REHEARSAL COORDINATION
Package includes one hour for rehearsal the day-before the wedding at the ceremony site. Rehearsals are necessary to ensure a smoothly run ceremony on your wedding day. We do ask that wedding party arrives on time and any family members or readers who are involved in the ceremony attend as well.

DAY-OF TIMELINE PREPARATION
Our Full Timelines are extensive because we know that no detail should be overlooked. Our timelines include ceremony processional and recessional order, ceremony seating charts, song choices, vendor contact lists and details and so much more. Other than help us with the major timing of things and the flow of the night... we fill in all the gaps for you.

WEDDING PARTY, FAMILY & GUEST ASSISTANCE
We are always on site to direct the wedding party and family as well as help direct guests as needed from location to location and to help with any random questions.

PERSONAL DECORATIONS
Before the wedding day we will get a full list of the inventory items you are providing as well as details as to how these items will be set up. We handle the set up and breakdown of items for you so that you do not have to set these up yourself.* [Large items such as: backdrops, installations, lighting, furniture may incur additional fees or require professional assistance depending on the size and requirements of set up. Additionally, we do have a trailer available for use as needed for a rental fee.]

CEREMONY COORDINATION & DIRECTION
Our team will organize and coordinate the ceremony. We will ensure ceremony musicians know the cue to change songs and we line up and direct everybody in the processional when to walk.

TIMELINE MANAGEMENT
Keeping the night running smoothly is one of the most important parts of our job! We work behind-the-scenes with vendors to ensure everything is as on time as possible so that you and your guests can eat, drink and dance the night away!

DISTRIBUTION OF FINAL PAYMENTS
We are happy to help distribute final payments and tips on behalf of couple to vendors.

EVENT BREAKDOWN & VENUE CHECKOUT
After the fun is over we oversee all breakdown of the event to ensure everything is packed up in accordance to your venue's contract. Any personal items will be delivered that night to a location arranged prior to the wedding including but not limited to: guest book, card box, gifts, etc. Once breakdown is complete we will ensure proper checkout with the venue.
